On August 14, 2004, more than 5,000 participants will convene the ASA Annual Meeting. A significant number of members of the press, representing many major U.S. news operations and international press agencies, will assure coverage of breakthrough announcements and new, emerging and innovative research and applications presented at the meeting.

Facilities. The exhibits will be located in the Grand Ballroom at the Hilton San Francisco, headquarters for the 2004 ASA Annual Meeting. Booths will be 8' x 10', draped in gold. Your exhibit fee in San Francisco includes an identifying sign and three free exhibitor registrations per booth.

Services. GES Exposition Services has been designated as the official drayage and storage company for the 2004 Annual Meeting. An exhibitor's kit containing order forms and prices for rental furniture, special signs, electrical hook-ups, etc., will be sent to you prior to the meeting. GES will also maintain a service desk throughout the show for your convenience.

Even though, the ASA, the exhibit service contractors, nor the hotel is responsible for any loss, we will make every effort to ensure that no such event occurs. ASA will provide guard service during all hours that the exhibits are closed (and entrance to the hall will be monitored by security personnel). In addition, exhibitors are urged to make sure their booths are staffed during all exhibit hours.

A Directory of Exhibitors with booth locations will be listed in the ASA Program, which is distributed to all registrants at the Annual Meeting and on the Annual Meeting website. In order to have your listing appear in the Program, your exhibit contract must be received by June 1, 2004.

Schedule. The ASA exhibit area in San Francisco will be open for four days. Absolutely no teardown or dismantling activity will be allowed prior to 1:00 p.m. on Tuesday, August 17. For safety purposes, children under 16 years of age will not be permitted in the exhibit hall during the hours of installation and dismantling. Exhibits must be staffed at all times during exhibit hours.

Booth Set-Up

  • Saturday, August 14—7:00 a.m.-1:00 p.m.

  • Exhibit Hours

  • Saturday, August 14—2:00 p.m.-6:00 p.m.

  • Sunday, August 15—9:00 a.m.-4:00 p.m.

  • Monday, August 16—9:00 a.m.-5:00 p.m.

  • Tuesday, August 17—9:00 a.m.-1:00 p.m

    Dismantling

  • Tuesday, August 17—1:00 p.m.-8:00 p.m.

  • Exhibit assignments. Booth location is assigned by the date of receiving the booth application, to receive a prime location we recommend that you return the Exhibit Contract as soon as possible. ASA adheres to a first-come first-served policy. Assignments will be made by May 3, 2004; contracts received after that date will be assigned a booth number upon receipt. Affiliated companies may request adjoining booths, but booth assignment will be based on receipt of the later contract if received at different times.

    Full payment of the exhibit fee must accompany Exhibit Contract; booth assignments cannot be made until both the Exhibit Contract and payment have been received by ASA. (Use the enclosed "Exhibit/Advertising Contract" form.)

    Cancellation. Exhibitors who cancel their exhibit reservation prior to May 15, 2004 will be refunded 50% of the total booth and bag insert fees. No refunds are available after May 15, 2004.

    ASA Policy on Exhibits, Advertisements, and Sales

    All items exhibited, advertised, and/or sold under the auspices of the American Sociological Association (e.g., at the Annual Meeting, in Footnotes, or in direct mailings to the ASA membership) must be of a nature that they can reasonably be considered to be (1) "tools of the trade" by sociologists acting in their professional capabilities as faculty, students, and/or sociological practitioners; (2) of benefit to individual members (e.g., insurance offered at competitive rates because of group membership); or (3) of benefit to the ASA while insuring that individual members have adequate information regarding costs to subscribers (e.g., credit cards, a portion of whose profits go to the ASA).

    The character of the exhibits, advertisements, or sales is subject to the approval of the Executive Officer or her/his designee. The ASA reserves the right to refuse any application for exhibit space, advertising, or sales, and to curtail or cancel any such exhibit, advertisement, or sale which, in the sole judgment of the Executive Officer, does not conform to these guidelines. This policy applies to unacceptable displays, advertisements, or sales of novelties and souvenirs, as well as the personal conduct of exhibits or their representatives.
